RG Systems builds custom software integrations for individual small-business clients. This policy covers two things: the discovery form on this site, and RG Systems’ QuickBooks Online integration apps, which connect a specific client’s own systems to their own QuickBooks Online account.
The discovery form
The form on the free audit page collects your name, business name, email address, phone number if you choose to give one, your answers to the multiple-choice questions, and anything you write in the optional text box.
That information is used to reply to your enquiry and prepare your audit, and for nothing else: no mailing lists, no resale, no sharing beyond what delivery requires. Submissions are delivered to Rotem as an email, sent through Resend, an email delivery provider; if email delivery fails, a backup path delivers the same submission through n8n, the workflow platform RG Systems runs on. In either case the record is retained while your enquiry is live and deleted on request.
Each submission carries an opaque submission id. Quote it, or the email address you submitted with, in a deletion request to rotemgol96@gmail.com and the record is removed.
The instant audit’s processing log
When the instant audit is running, it keeps a processing log so that what it told a visitor is retrievable if they ask about it. The log stores the multiple-choice answers, the matched bottleneck pattern, the generated text, its validation result, a timestamp and the submission id, and never your name, email, phone or business name. Identity stays in the delivery system that already holds it, connected only by the submission id.
The optional text box is not part of the audit: its contents are never written to this log and never sent to any model. They go to Rotem and nowhere else.
Log entries are deleted automatically after 90 days. Access is limited to Rotem and RG Systems’ engineering contractor. A deletion request resolves by submission id and removes the log entry and the delivery record together.
What data is accessed
An RG Systems QuickBooks integration reads and writes only the data needed to automate that client’s own invoicing: customer records, invoice line items, and invoice status. It does not access payroll, banking, or any other QuickBooks data beyond what ’s required for invoice creation.
How data is used
Data retrieved from QuickBooks is used solely to create and send invoices on behalf of the client that owns the QuickBooks account, within that client’s own automation workflow. It is not sold, shared with third parties, or used for any purpose beyond that client’s own invoicing.
Data storage
Invoice records are stored in the client’s own private database, accessible only to that client and RG Systems as their service provider. No QuickBooks data is aggregated across clients or used for any purpose beyond the individual integration it was built for.
